Time & Attendance Systems Administrator

Location: Chicagoland, IL

 

 

Reporting to the Payroll Manager, performs various duties necessary for the overall Time and Attendance (T&A) system configuration, administration and maintenance. Oversees and maintains the T&A system for all setups, reporting, auditing and functionality for employees, managers, agency and contract staff. Collaborates with the other teams on system upgrades, testing and enhancements. Performs a variety of duties necessary for the overall processing on the Payroll system. Responds to employee and management questions and concerns regarding paychecks, time reporting and pay policies.

 

  • Creates and reviews audit reports for the T&A system to ensure department management is in compliance with company policies/procedures and wage and hour requirements. Looks for areas of exposure and investigates and follows up to resolve any issues; reports problematic findings to management for necessary corrective action as needed. Reviews and analyzes the validity of scheduling and timecard data submitted by department management for adjustments to the T&A system for entry to meet strict deadlines. Develops custom reports and genies as needed for management and end users.
  • Performs daily operations necessary for the processing of payroll according to established procedures to meet strict deadlines. Responds and resolves inquiries from management and employees on all payroll related issues using customer service skills; interprets policies and ensures the necessary adjustments are made in compliance with policies and Wage and Hour regulations. Refers escalated issues to management as needed. Consults with Human Resources and Financial management on issues not clearly defined by established policies and procedures and suggests/develops improvement and changes.
  • Oversees and maintains T&A system configuration, including system licensing administration. Develops, creates and updates various work, pay, organization and reporting structure tables and fields in the system as required for unique pay circumstances or system access requirements. Reviews all system table setups for accuracy and interdependencies and addresses any discrepancies. Creates data file from the T&A system to be imported into the PeopleSoft payroll system on a timely basis. Monitors interface between T&A System and payroll system contacting management and IT Support on issues as appropriate. Oversees the setup and maintenance of management system security and access to timecards, schedules and pay programs. Maintains, oversees and updates Kronos organizational map used for Nursing Services reporting and all advanced scheduling cost centers.
  • Responds to outside requests for payroll related information such as mortgage and wage verifications, subpoenas, etc. Researches direct deposit returns from bank, notifies employees and prepares necessary paperwork for payment. Makes necessary adjustments to timecards as required in T & A System. Follows up on questions or changes to employee record with employee's manager.
  • Performs basic functional troubleshooting for the T&A system and works with department management and other system module owners. Identifies potential causes and interacts with users and IT support to resolve issues. Acts as a primary liaison with vendor support regarding Timekeeper functional module use/issues requiring resolution.
  • Enters various payroll deductions in PeopleSoft including direct deposits, uniform payments, Employee Giving Program deductions, W-4 changes and uniform deductions. Processes child support, wage garnishment and governmental wage levies by reviewing and entering system setups. Notifies employees of any intended garnishment actions and responds to outside sources such as attorneys and collection services.
  • Reviews information received from department management; calculates and prepares on-line and manual check paperwork for payroll adjustments. Prepares paperwork and ensures stop payment processes are complete for paycheck reprints. Assists management with special payroll processes such as service awards and PTP payouts.
  • Creates and maintains T&A system documentation on procedures for pay rule setup, processes and system monitoring. Makes sure documents are in compliance with internal and external audit requirements. Participates in external audits for T&A and Payroll reviews.
  • Functions as a T&A system lead for Attendance and Leave modules and Nursing Administration for Advanced Scheduler modules. Creates and modifies schedule templates and genies with input from nursing schedulers.
  • Collaborates with IT in the analysis and design of any testing scripts for T&A system upgrades and enhancements. Validates testing results on all system modifications. Maintains procedural and test script documentation related to the T&A system. Works in conjunction with Training and Development and IT to create appropriate training materials to educate end users. Coordinates and delivers user training on T&A system Timekeeper module for end users.
  • May provide routine payroll system support duties on a limited basis as required (i.e. 401(k) match balancing and completing wire transfer request for approval).

 

Qualifications

  • The level of knowledge normally obtained through the completion of a Bachelor's degree in a related field or equivalent experience.
  • Minimum four years' experience supporting an automated T&A system and payroll operations required. Experience with set-up and maintenance, ad-hoc reporting and supporting IT and HR Upgrade Implementation Teams.
  • Kronos T & A systems experience required.
  • People Soft payroll experience strongly preferred.
  • Basic knowledge of Microsoft Office applications (Word, Excel, etc.).
  • Knowledge of and experience with E.E.O., Wage and Hour, and other state and federal regulations in relation to the payroll process.
  • The organizational skills necessary to develop and oversee system testing scripts, timelines and implementation plans.
  • The analytical skills necessary to analyze processes, identify system problems, develop action, testing and implementation plans and resolve issues.
  • The leadership skills to successfully lead projects, influence customers and facilitate action to implement workflow changes related to system and process changes.
  • The written and verbal communication skills necessary to train users, develop training materials and document procedures.
